How to Prove Your Staff Was Trained at a Health Inspection

The short answer: show the inspector a dated record for each employee: who was trained, on what, when they passed, how they scored, and how they did on allergens. A sign off sheet proves someone signed something. A quiz record proves someone knew the answer.

Every operator knows the feeling. The door opens, someone walks in with a clipboard, and your stomach drops a little before you even know why they are there.

I have stood next to a lot of inspectors in thirty years running restaurants. The good ones are fair. They are not out to catch you on a technicality. But sooner or later almost every one of them gets to the same question: how do you know your staff knows this?

That is the question most of us answer badly.

Why "yeah, they know it" does not work

Here is what the answer usually looks like:

  • A training binder that was current two general managers ago.
  • A sign off sheet from a training day nobody remembers.
  • A manager saying "yeah, they all know it."
  • A server who gets asked what is in the house dressing, and freezes.

None of that proves anything. The binder proves someone printed something once. The sign off sheet proves someone signed something once. Neither one tells you what your staff actually knows today.

What inspectors are actually checking

In the US, most states base their food rules on the FDA Food Code. It makes the person in charge responsible for making sure employees are properly trained in food safety, including food allergy awareness, as it relates to their duties. Inspectors check that in two ways: they ask you how you train, and they ask your staff questions.

In Australia, Standard 3.2.2A requires food service businesses to make sure their food handlers are trained and to have a certified food safety supervisor. In the UK, your food hygiene rating takes in how you manage food safety, and staff training is part of that.

The details differ by city, state and country, so check what applies to you. The spirit is the same everywhere: can you show your people were trained, and do they actually know it?

Country guides: US health inspections, Australia's Standard 3.2.2A, and UK EHO inspections.

What a good staff training record shows

If I were building the perfect thing to hand an inspector, it would answer five questions on one page:

  1. Who on my staff passed their training.
  2. When they passed it.
  3. How well they did.
  4. How they did on allergens specifically.
  5. What they were trained on, and where the allergen information came from.

That last one matters more than people think. If your menu prints allergen marks, your staff should be tested on them. If you have an allergen sheet, they should be tested on that. And if your staff have been given nothing on allergens, the record should say so plainly instead of pretending.

How to keep that record without a binder

  1. Upload your menu, plus your allergen sheet if you have one. Photos of the pages work.
  2. Send the quiz to your staff. They take it on their phones in a couple of minutes, no app to install.
  3. As each person passes, the record updates itself with the date, the score and their allergen results.
  4. When the inspector walks in, pull up the report and hand it over.

What the ShiftTrained inspector report includes

We just shipped this. It is called the inspector report, and it comes with every paid plan. Open your dashboard, tap Run inspector report, and you get one page:

  • Everyone who passed, the date they passed, and their best score.
  • Everyone who has started but not passed yet, marked In progress, so nothing is hidden.
  • Allergen results for each person.
  • The menus and documents they were trained on, and where your allergen information came from.
  • A QR code the inspector can scan to check the report is real.

Show it on your phone, print it on the spot, or email it straight to the inspector before they finish walking the line. See how it works.

To be clear about what it is: it is a record of the training your staff completed in ShiftTrained. It is not a certificate from any health department, and it does not replace any course your area requires of managers. What it does is turn "yeah, they know it" into a page with names, dates and scores on it.

Why this matters beyond inspection day

The report is the part people notice. The real value is what has to happen for the report to look good. Your staff actually have to learn the menu, the allergens, the specials and the house rules. On their phones, in a couple of minutes, and they come back on their own because the leaderboard makes it a game.

An inspection is one day a year. A guest with a nut allergy is any night of the week. The same training covers both.

Frequently asked questions

Do health inspectors ask for staff training records?

Many do, and many test your staff directly by asking them questions. In the US, the FDA Food Code, which most states adopt in some form, makes the person in charge responsible for making sure employees are trained in food safety, including food allergy awareness. Rules differ by city, state and country, so check with your local authority.

What should a restaurant staff training record include?

Each employee's name and role, what they were trained on, the date they passed, their score, and how they did on allergens. It should also say where the allergen information came from, such as the printed menu or an allergen sheet.

How do I prove allergen training to an inspector?

Show allergen results per employee, not just a signature. A record that lists how many allergen questions each person answered correctly, built from your own menu or allergen sheet, shows the training happened and that it stuck.

Is the ShiftTrained inspector report a health department certificate?

No. It is a record of the training your staff completed in ShiftTrained. It is not issued or approved by any health department or food authority, and it does not replace any certificate or course your area requires.

Can I show the report on my phone?

Yes. Pull it up on your phone, print it, or email it to the inspector from the same screen. Every report has a QR code that opens a verification page on shifttrained.com.

Which ShiftTrained plans include the inspector report?

Every paid plan: Basic, Pro and Max. It is on your dashboard under Inspector report.
